How to Include a Message in Approval

Through the Approval feature, you can now send approval request notifications via WhatsApp as an additional channel besides email. This feature helps approvers receive notifications more quickly and easily. Before sending a request, make sure the WhatsApp number of the approver has been entered correctly.

  1. Go to the Approval menu.

  2. Click the “Request approval” button then select Send message.

  3. Enter the document name in the provided field.

  4. Add approval by clicking the “+ Add approval” button.

  5. The following pop-up will appear. Under Approval type, choose Manual if you want to create a new approval format or select Template settings to choose a previously created approval format.

  6. Select the users who can approve/make the approval and click “Save”.

    You can also enable the toggle Send notification via WhatsApp if you want to display notifications via WhatsApp to the entered number.

    - Click “+Add approval layer” if you want to add an approval layer.

  7. In the Document Type section, the document type is set to Others by default. If you want to change it, click “Change”.

  8. Then enter the desired message in the Message field. This message will be displayed in the approval request notification sent to the approver.

  9. Attach files if needed.

  10. In the Advanced settings section, you can toggle Send automatic reminders if you want to send reminders related to the approval.

  11. You can also share the document with other users or teams in the Share to others section.

  12. Then click “Send for approval” to save.
