Things to Note When Using the User Management Feature

In Mekari Sign, you can invite other users to join your Company account, allowing you and your team to easily share document access. There are 3 access levels: Owner, Admin, and Member.

By inviting other users to your Company account, it means you allow document data, contacts, and stamps from the accounts of the users you invite to merge with your document data. However, you don’t need to worry, because data access for documents depends on the permissions granted. Here is the explanation:

Explanation of the Document, eStamp, and Contact menus after you and your team (other users) share document access:

A. Document Menu View

In the Document Menu, all document lists and document folders can be seen by all users. The Owner can access all documents in detail, while Admins can only access document details if they have certain permissions. Here is the explanation:

  Owner Admin
Has access to documents as signer (Need to sign) and copy recipient (Receives a copy) - Can provide signature (if assigned as signer) 
- Can perform actions (move, delete, sign, void, download, resend, preview document)
- Can provide signature (if assigned as signer) 
- Can perform actions (move, delete, sign, void, download, resend, preview document)
Does not have access to documents as signer (Need to sign) and copy recipient (Receives a copy) - Can access detailed information of all documents
- Can perform actions (move, delete, void, download, resend, preview document)
- Can only view basic document information (Reference ID, document creation and sending dates, and document status)

If the document is still in draft form, whether it is an unsent draft or one that has been deleted, it can only be accessed by the document owner (cannot be accessed by other users).

B. eStamp Menu View

In the eStamp Menu, information will be displayed about the total number of stamps pooled and the number of stamps used, as well as details of who used the eStamp, the document name, and the date the stamp was used.

C. Contact Menu View

In the Contact Menu, you will see the contact list you have and the contact lists from other users will be merged into your Sign account, with the following conditions:

Same name? Same email? Same phone number? Contact created in the account
Will be merged into one contact name
x Will be saved as a different contact
x Will be saved as a different contact
