How to Implement AI Usage When Uploading Documents

To facilitate users in the document uploading process, Mekari Sign presents an AI feature to automatically detect the type of document. This process only reads the beginning part of the document to gain context, without accessing the entire content of the document. The goal is to provide faster and more accurate recommendations without compromising data privacy.

With this feature, you only need to upload the document, and the system will determine the document type with a high level of accuracy, simplifying the uploading process. For more details, please follow the steps below.

1) Document Type Suggestion: This feature allows AI to suggest the type of uploaded document based on the analysis of the first page of the document. This process only reads the beginning part of the document to gain context, without accessing the entire content of the document. The goal is to provide faster and more accurate recommendations without compromising data privacy.

2) Summary and Extraction of Key Document Points:
Our AI can read the entire document to summarize and capture key points, such as dates, involved parties, and transaction values. This information is extracted as metadata used internally to enhance user experience and assist communication with AIRENE (our AI). We ensure that the extracted data is used only as metadata, which will not be shared with third parties or used for purposes outside the development and improvement of Mekari Sign services. Furthermore, we confirm that your document content is not stored or processed further after the metadata is generated.

3) Prediction of Annotation Placement in Documents:
This feature helps users determine the optimal location to place electronic signatures (e-signatures). AI reads patterns from the document to suggest appropriate signature positions. This process is similar to practices applied by other platforms such as Docusign. Access to the document content is limited only to the annotation placement analysis process and is not used for other purposes.

4) Communication with AIRENE:
The metadata generated from document summaries can be used for communication with AIRENE, which functions as an AI-based virtual assistant. AIRENE processes user queries based on data that has been converted into metadata, without directly accessing the original document.

  1. Go to the Settings menu.

  2. Then, on the Account tab, click "My Account".

  3. On the next page, you can enable AI implementation options.

    - Automate document type selection: Enable this if you need AI assistance to categorize documents into certain types, such as NDA, contract agreement, and others. You can still change the document type by clicking “Change” if you find the AI prediction inaccurate or you can skip and proceed to the next step, and the predicted document type will be set as the document type.

    - Document summary: Enable this if you need AI assistance to summarize documents. You can view the AI Document Summary when opening the document details page as shown in the image below.

  4. Then, after AI is activated, you can proceed with uploading either electronic documents PSrE or Global Sign.

    This upload applies to both Single and Bulk upload.
