How to Bulk Upload Documents

You can upload documents in bulk (up to 15 documents) using the Bulk Upload feature in Mekari Sign. However, before uploading documents in bulk, make sure your account has the Bulk Upload Add-On installed. This feature is free for users with the Business package. For users with the Pro package, please contact sales to subscribe to this feature. For users with the Starter package, upgrade your package to Pro and contact sales for the additional fee.

For more details, here is how to use the Bulk Upload feature in Mekari Sign.

  1. If you have not installed the Bulk Upload Add-On, you can install it first on your Mekari Sign account. Click “Get Consultation” to get consultation regarding the add-on feature.

  2. If the Bulk Upload add-on is installed, you can go to the Document menu and select All inboxes.

  3. Then click the “down arrow” next to Upload document and select Bulk Upload.

    - If you have not installed the bulk upload add-on, an “Upgrade” icon will appear next to the bulk upload text. When clicked, you will be redirected to the Mekari Sign homepage.

  4. Drag your documents into the box, or click “Browse” or drag and drop the documents you want to upload to select documents directly.

    Maximum of 15 documents per upload, with a maximum size of 25 MB.

  5. If you select multiple documents, the following pop-up will appear to determine the Merge options for the documents you have uploaded.

    - If you select “Merge documents”, all documents will be processed and combined into 1 (one) file.

    - If you select “Separate documents”, then each document will be processed separately. You can also decide whether all those documents will be sent using 1 (one) email or separate emails.

    - You can also check ‘Save as default’ if you want the ‘Merge documents’ option to be the default for every document upload.

  6. Change the desired document type.

  7. Then you can see the settings previously set in point 5. If you want to make changes, select the “Manage” button, then repeat the steps in point 5.

  8. Next, you can also input a Group Name if needed. This field will be filled automatically, but you can still change or add a Group Name from the existing ones.

  9. Next, you can add attachments that can be viewed by signers and document copy recipients by clicking “Upload attachment” then choose whether to upload attachments from your computer or cloud storage.

    You can add up to 10 attachments with a maximum size of 20 MB.

  10. In the Attached to column, you can select whether the attachment is sent to all documents or specific documents. You can also check Require review if the attachment must be opened before the document is signed.

    Check Send the attachment via email if you want the attachment also sent via email.

  11. In the ‘Document compliance’ option, you can select PSrE if you want the document to have a digital certificate from the Ministry of Communication or select Global sign if you want the document to have a globally recognized digital certificate.

  12. Click “Next” to continue.

  13. Next, you can add a recipient list for each document. But first, determine which document’s recipients you want to add.
  14. Select/enter the name and email. Then determine the recipient’s role and the action they will perform on the document.

    - You can save the contact list, create a contact group by checking recipient names, then activate the toggle ‘Save new recipient data to Contact List’.
    - To set the signing order, check the recipient’s name, then activate the toggle ‘Set the signing order’.

    - You can also remove recipients in bulk by checking recipient names, then clicking “Actions” as shown below and selecting “Remove recipients”.

  15. Next, to add another signer, you can click “Add another signer” or “Add others”.

    If you select “Add others”, you can add yourself as a signer or select a signer group according to the contact group previously created.

  16. If the signer is the same for all documents, you can click the “three dots” then select Apply to other document.

  17. Then you can set Approval by activating the click “Add approval flow”.

  18. The following panel will appear to set the Approval type.

  19. If you select Manual, you need to set the Approval step manually. Choose the type of Approvers, the name of the Approver, then click “Submit”.

    - For the Approvers type, you can choose all Approvers must approve by clicking “All user(s) must approve” or any Approver can approve by clicking “Any user can approve”.
    - You can also add more than one approval layer by clicking “Add layer”.

  20. If you select Approval type as Template, you only need to specify the available Approval name. The Layer and Approvers data will automatically appear as shown below. Click “Submit” to continue.

    Beforehand, you can set the Approval name by going to the Approvals menu, then select the Settings tab. Then click “Create”.

  21. The Approver will appear as shown below.

  22. You can also apply this Approval list to several documents by clicking “Actions” then selecting “Apply to other document(s)”.

  23. Once all documents have been uploaded, a tab will appear at the top of the page. Here, you can also toggle the switch under Document to display the QR code on the document.

  24. You can also add signature fields and e-Stamp (if any) to other documents by clicking one of the Signature Fields/Auto Fields, then click “Apply”.

    - Auto Fields are only available on Global Sign documents.
    - Placement of signature or e-Stamp fields on all documents is determined by coordinate points. However, if you upload documents with different numbers of pages and the field is placed on a page not present in other documents, the field will only appear on that document.
    Example:
    File A consists of 2 pages
    File B consists of 1 page
    Therefore, if the signature/e-Stamp/automatic field is placed on page 2 of file A, it will not be input in file B because file B does not have page 2.
    - If you are the document creator and want to provide an e-Stamp, you can check Provided by document maker.

  25. After placing a Field on a page, you can also duplicate the Signature field to other documents by clicking the ‘down triangle icon’ on Copy to this page, then select “Other document(s)” as shown below.

  26. A Signature field panel will appear. Specify the Document name and Signer to apply the duplicated Field. Then click “Apply”.

  27. The duplicated Signature field on other documents will appear as shown below.

  28. Click “Next” to continue.

  29. Then, enter the file name and select the folder where you want to save the document. Then click “Next” to continue.

  30. In the final step, review the documents to be sent for signing. If everything is correct, click “Send Document” to send the documents.

    As information, if one or more signers in the document have not completed eKYC verification and the document creator does not have sufficient eKYC quota or does not have quota for documents/eSignature/e-Stamp, then the document creator cannot proceed to send the document. The document creator can click “Top Up” in the eKYC quota section, and the top-up process will be directly assisted by the Mekari Sign team.     Note that if the top-up process is not completed, you cannot proceed to the next step.

  31. In the Document settings section, you can set the Signing deadline by clicking “Manage”.

  32. Then decide whether you want the document signing process to require a deadline or not.

  33. If the signing process requires a deadline, set the deadline for the Signer to sign.

  34. You can also set an automatic reminder for the Signer.

  35. Additionally, you can set the document recipient to receive recurring reminders by enabling the toggle ‘Set recurring reminder’.

  36. You can also enable the toggle ‘Save this setting for the next upload’ to save the document settings for future uploads.

  37. Then click “Save”.

  38. Besides setting the Signing deadline, you can also set the Contract validity by clicking “Manage”.

  39. Next, set the document expiration time after being signed by the Signer. You can set from the Effective date, Document expiration, Send automatic reminder, to Notify recipients.

    You can also enable the toggle ‘Set recurring reminder’ for recurring reminder delivery.

  40. You can also enable the toggle ‘Save this setting for the next upload’ to save the document settings for future uploads.

  41. Then click “Save changes”.

  42. If everything is correct, click “Send all documents” to send the documents.

  43. Once the documents have been sent, a pop-up like this will appear. Click “Ok, Got it” to continue.

  1. Next, the documents you sent will appear on the All Inbox page. To view document details, click “document name” or “View Details”.

  2. Here you can also see whether the document has been signed or not based on its status.

    - If the document creator has the role of one of the signers, the creator’s signature will automatically appear on all documents requiring the creator’s signature.
    - If the document creator is also the party applying the e-Stamp, the e-Stamp will be automatically stamped on all documents requiring an e-Stamp.
